Creating and Managing Driver Profiles

Creating and Editing a Driver

This article explains how to create a new driver and update an existing driver profile, including driver information, fleet associations, and important considerations for permanent changes.

 

Go to: Configurations → Users

  • Create New User — to create a new driver.
  • Search for an existing driver and select Edit to modify an existing driver's profile.

 

Driver Information

Complete all required driver information, including:

  • First Name and Last Name
  • Date of Birth
  • Gender
  • Username
  • Password
  • License Type
  • Contact Information
  • Any other required fields
Note: The username and password configured here are used by the driver to log into the Driver App.

 

Employee Number (Emp #)

The Emp # field is a custom field that can be used internally to:

  • Store your company's employee ID.
  • Match the driver with payroll systems.
  • Integrate with external HR or workforce management systems.

 

Driver Associations (Fleet Allocation)

Driver Associations determine which fleet(s) a driver belongs to.

Single Fleet Drivers

If the driver only works for one fleet, simply associate the driver with that fleet.

Multi-Fleet Drivers

For drivers who work across multiple fleets:

  1. Open the Allocation section while creating or editing the driver.
  2. Associate the driver with all applicable fleets.
  3. Configure schedules for each fleet as required.

This allows the same driver profile to operate across multiple fleets without creating duplicate driver records.

3. Permanent vs. Temporary Changes

Changes made from Configurations → Users are permanent and affect both current and future schedules.

Understanding the difference between permanent and temporary changes is critical to preventing unintended impacts on future schedules and assignments.

When to Make Permanent Changes on Users Screen

• Onboarding a new driver

• Updating a driver's core profile information

• Changing ongoing fleet associations or recurring schedules

When NOT to Make Permanent Changes on Users Screen

• Driver call-offs, sick days, or vacation

• Temporary vehicle swaps

• One-day schedule changes

Instead, use the appropriate operational workflows:

Marking a driver unavailable for the current day

Performing a temporary vehicle switch and managing same-day operational changes
