How to Mark a Driver Unavailable for a Single Day
This article explains how to update a driver’s availability when they call off for a specific day. These steps apply only for the selected date on the Operations screen and do not affect any future dates.
Marking a Driver Unavailable
Step 1: Select the Date
On the Operations screen, use the date filter at the top to select the day the driver has called off.

Step 2: Select the Driver
In the Drivers pane, choose the driver you want to mark as unavailable.
Step 3: Open the Capacity Bar
Click the capacity bar (the red and green bar displayed under the driver’s name).

Step 4: Open the Unavailability Modal
After clicking the capacity bar, a modal will appear that includes a toggle to mark the driver unavailable.

Step 5: Enable the Unavailability Toggle
Turn the toggle ON. A new screen will appear that allows you to choose from predefined Leave Reasons.

Step 6: Add Optional Notes
Use the Additional Notes field to enter any custom notes. These notes display on the driver’s Daily Shift Report

Step 7: Confirm Shift Details
Select the Fleet, Service Type, and Vehicle the driver is associated with, then save.
The driver is now marked unavailable for the selected date.

What If the Driver Already Has a Run Assigned?
If the driver has an active run assigned on the selected date:
- The system will show a warning and will not allow you to proceed.
- To continue, go back to the Operations page and unassign the run from the driver.
- Once the run is unassigned, you can return to the modal and mark the driver unavailable.

What If the Driver Has Recurring Runs?
If the driver normally has recurring daily runs:
- Marking them unavailable only affects the date selected.
- On the next day, when the assignment job runs, the system will check availability.
- If the driver is available on that day, the system will automatically assign the recurring run back to the driver.
Marking a Driver Partially Unavailable (Adjusting Shift Hours)
To shorten a driver’s shift for a single day:
Step 1: Open the Capacity Bar
Click the capacity bar under the driver’s name.

Step 2: Adjust Shift Times
Update the Shift Start and Shift End times to reflect the hours the driver will be available.Click Save.
Note:
This change applies only to the date selected on the Operations screen. It does not alter future shifts. All rules explained above (warnings for assigned runs, recurring run behavior, etc.) apply to partial unavailability as well.
