How to move a driver to a different vehicle for today's shift, without unassigning and re-assigning every trip by hand.
🚐 When you'd use this
A vehicle breaks down mid-shift, or a driver needs to swap vehicles for some other reason today. Instead of manually unassigning every run on their shift and reassigning each one to a new vehicle, you can switch the vehicle directly on the driver's shift — Tobi automatically carries over the driver's existing runs to the new vehicle.
How to switch a vehicle
On the Operations screen, click the driver's capacity bar in the Drivers pane.
This opens the shift edit modal for that driver — not the confirmation pop-up covered later in this article.
In the shift edit modal, use the vehicle dropdown to select the vehicle you want to assign to the driver for today. Once you've made your selection, re-adjust the shift timings as needed.
Vehicles that already have runs assigned to them for this shift won't appear in the list — you'll only see vehicles that are actually available to switch to.
Tobi checks the switch against a few safety rules automatically. If any rule fails, the switch stops here and you'll see a message like one of these instead of a confirmation pop-up:
Shown as a red notification banner in the corner of the screen:
Unable to switch vehicles. The current vehicle assigned to the driver has ongoing runs for today's shift. Unassign those runs first, then try again.
Unable to switch vehicles. The selected vehicle is already assigned to another driver for this shift. Unassign it from that driver first, then try again.
Unable to switch vehicles. The selected vehicle's seating doesn't meet the requirements for the runs in this driver's shift. Choose a vehicle with compatible seating, then try again.
If none of these apply, the switch is allowed and you'll move on to the confirmation pop-up in the next step.
Review the confirmation pop-up.
What you'll see — standard switch
Confirmation
This will reassign all of the driver's upcoming runs scheduled for today to the new vehicle.
What you'll see instead — if a passenger has this vehicle excluded
You'll still get the same pop-up, just with an added warning line so you can double-check before proceeding:
Confirmation
This will reassign all of the driver's upcoming runs scheduled for today to the new vehicle.
One or more passengers on the runs in the driver's shift have excluded this vehicle. Review the trips before confirming the switch.
This warning line is informational only — it won't stop you from confirming. It's there so you can review the flagged trip(s) first.
Click Confirm. The driver's runs for today are automatically moved to the new vehicle — you don't need to touch anything else.
No further pop-up — the switch happens in the background and the Operations screen updates.
What happens on the driver's shift after you confirm
What you'll see depends on whether the driver has already started their shift:
Driver hasn't started their shift yet
If none of the driver's runs are completed or in progress, their shift stays as a single card — the vehicle is simply updated in place, and all of their assigned and waiting runs move over to the new vehicle.
Driver is mid-shift (has some completed runs already)
If the driver has already completed one or more runs, their shift splits into two cards:
The first card keeps the completed runs on the original vehicle — nothing changes there.
A second card is created for the rest of the shift, showing the new vehicle. Any remaining assigned or waiting runs move onto this card automatically.
If the driver had any waiting runs (runs whose scheduled time has already passed) at the moment of the switch, those are automatically moved into the new vehicle's card and re-timed to start right at the moment of the switch — if there's more than one, they're queued one after another in order. You don't need to manually re-time or re-order them.
Safety checks Tobi runs before allowing a switch
Before showing you the confirmation pop-up, Tobi checks the switch against four rules, in this order. The first three can block the switch outright (that's the red banner you'd see in Step 3); the fourth is a warning only, shown inside the confirmation pop-up itself.

What it looks at
If it fails
Blocks switch
Does the driver's current vehicle have a run that's already in progress right now?
“Unable to switch vehicles. The current vehicle assigned to the driver has ongoing runs for today's shift. Unassign those runs first, then try again.”
Blocks switch
Is the new vehicle already assigned to a different driver for this shift?
“Unable to switch vehicles. The selected vehicle is already assigned to another driver for this shift. Unassign it from that driver first, then try again.”
Blocks switch
Does the new vehicle's seating (ambulatory / wheelchair / stretcher, and how many of each) cover what the driver's runs today actually need?
“Unable to switch vehicles. The selected vehicle's seating doesn't meet the requirements for the runs in this driver's shift. Choose a vehicle with compatible seating, then try again.”
Warning only
Has any passenger on the driver's runs today excluded this specific vehicle?
“One or more passengers on the runs in the driver's shift have excluded this vehicle. Review the trips before confirming the switch.” — shown inside the confirmation pop-up; Confirm stays enabled
A vehicle that already has runs assigned to it for the same shift won't show up in the dropdown at all — you'll only see vehicles that are actually available to switch to.
What this feature does not do
Future-day trips are not affected. This only changes the driver's vehicle for today's shift.
It doesn't change how the driver app behaves. If the driver has already logged in for the day, the app will prompt them to re-verify their vehicle capacity when it's time to switch vehicles.
It's not built for switching vehicles mid-run. Drivers typically verify their vehicle before starting a shift, so this flow is designed around switching before or between runs, not while a run is actively underway.
Frequently asked questions
Do I need to unassign the driver's runs before switching their vehicle?
No. Manually unassigning and reassigning every run is exactly what this feature is designed to save you from doing. Simply select the new vehicle from the dropdown in the shift edit modal, and Tobi will automatically carry the driver's existing runs over to it.
What happens if I try to assign a vehicle that's already in use by another driver?
You'll see a message letting you know the vehicle is already assigned to another driver for that shift, and the switch won't go through. Unassign the vehicle from that driver first, then try the switch again.
Can I still switch vehicles if a passenger has excluded the new vehicle?
Yes. The switch isn't blocked in this case — you'll just see an additional warning in the confirmation window, letting you review the affected trip before you confirm.
Will this still work if the driver has already completed some of today's runs?
Yes. Any runs the driver has already completed stay on their original vehicle, and a new shift card is created automatically to hold their remaining runs on the new vehicle. You won't need to do anything extra to make that split happen.
Does switching a driver's vehicle today affect their future runs?
No. A same-day vehicle switch only applies to the current day's shift and has no impact on that driver's runs for tomorrow or any other future date.
